Attendance will continue to be by reservation only and limited to the first 50 people to RSVP. Guests may be invited, but must have a reservation. If you are making a reservation for you and a guest, or guests, please indicate on the reservation form the number attending, including yourself, and list the person’s name at the appropriate place on the reservation form. For example if you are bringing one guest, you will make a reservation for 2.
Our meetings will also continue to be held virtually via ZOOM. If you choose to meet virtually, the link for the meeting is published in the newsletter. You will also still be given an opportunity to order a carry-out meal and pick it up curbside at the portico from 11:00am until 11:30am on Friday.
INSTRUCTIONS FOR MAKING RESERVATIONS
Each week in the newsletter, which is published on Tuesday morning, there will be links to the Meeting Reservation and the Carry-out Reservation. Click on the appropriate link and complete your reservation. If you do not receive an immediate email confirmation that means that your reservation did not go through. If this happens please try again, and if it still happens, please contact Gail Johnson at email@example.com or 706-346-9348. We are only paying Tyler for the number we confirm, and he is only preparing for that number, so it is important for you to get the email confirmation that lets you know we received your reservation.
You have until Wednesday at noon to make reservations. If the number of meeting reservations reaches 50, the meeting reservation system will close, even if it is before noon on Wednesday.
A final count will be given to Tyler on Wednesday at noon and the club will be charged for the number of meals we order. Please make every effort to attend if you make a reservation. If you need to cancel a reservation, please do so by Thursday at 5pm. From time to time members who attend our meetings purchase additional carry-out meals and pay Carol Abrams for those meals. If you wish to do that, you should make a reservation to attend the meeting in person, and then make an additional reservation through the carry-out order invitation. There will be a place for you to note that this is in addition to your in-person reservation.
INSTRUCTIONS FOR FRIDAY MEETINGS
Protective face coverings are required to be worn at all times from the time the members exit their vehicles except when actually eating lunch, or by speakers at the podium. Plan to bring a mask and wear it as required.
Members not participating in conducting the meeting or on the program should not arrive prior to 11:30am. Members who are conducting the meeting, helping with the virtual meetings or hosting the guests providing the programs may arrive early enough to get set up for the meeting. Temperatures of all attendees will be taken at the door. Attendees will also be asked if they have been exposed to anyone exhibiting any signs of COVID or have exhibited any signs of COVID themselves within the last 14 days or if they are currently awaiting the results of a COVID test. Those whose temperature is 100.4 or higher, or who answer “yes” to any of the questions will not be allowed to enter. After passing the temperature checkpoint, the member will be checked off a master list of attendees. Members who arrive without a reservation will be turned away.
Sweet P’s will provide hand sanitizers at the door as well as the serving table. Food will be served by the Sweet P’s staff at the serving station. Tables and chairs will be set up so that social distancing can be observed. Tables and chairs are not to be moved. All tables and table cloths will be wiped down by Sweet P’s staff with a special disinfectant spray before and after the meeting.
At the conclusion of the meeting, members will be asked to leave the building immediately and conduct any additional business or conversations outside and socially distanced.
INSTRUCTIONS FOR CURBSIDE PICK-UP
Members who order meals for curbside pickup will receive boxed meals that include the same food served at the meeting.
Curbside pick-up will be available at the portico from 11:00am until 11:30am. Please plan to arrive during this time so the Exchange volunteers at the pick-up point may attend the meeting. This should give most members time to pick up their meals and get back home in time to participate in the meeting virtually.
When you drive through your name will be checked off the reservation list and you will receive your meal. If you ordered additional meals, please have cash (preferable correct change at $10 per meal) or check made out to the Rome Exchange Club ready to give to the Exchange member at the pick-up point.
